Job Description

We are seeking an Office Administrator & Assistant to the Chief Operating Officer to join our team. The ideal candidate would handle daily activities and communications, performing various administrative tasks to support accounting, records management, sales, safety, and marketing. Attention to detail is vital to this position. Responsibilities and Duties:

  • Ensure phone calls are responded to on time.
  • Perform all data entry daily and operations.
  • Coordinate with Estimating Team at the start of each new project.
  • Coordinate with Superintendents/Estimators to invoice & process payments in QuickBooks.
  • Manage new or ongoing projects to enhance or improve operations within the office.
  • Be innovative and suggest new ideas or processes.

Requirements:

  • Verifiable two (2) years experience in Office Management/Administration.
  • Must be proficient in Microsoft Excel, minimum two (2) years.
  • Knowledge of QuickBooks Enterprise a plus.
  • Strong administrative and organizational skills.
  • Have the ability to achieve tasks in a timely and accurate manner.
  • Have proven experience with file maintenance, compliance, and quality control.
  • Have outstanding verbal and written communication skills, specifically with customer service.
  • Valid Arizona Driver’s License, pre-employment drug screen and background check required.
